This program is used to create correction codes that can be assigned to Customers and Model Codes. If more than one Fuel Correction Code applies to a RA, they are used in this order of preference:
If a correction code is assigned to the Bill-To Customer, it takes precedence over other correction codes.
If no correction code exists on the Bill-To Customer record, then one attached to the renting Customer record takes precedence.
If no correction code exists on the renting Customer's record, then one in the Model Code File takes precedence.
If there are no correction codes involved, the fuel charge is calculated in the normal manner with no further adjustments.
To access the Edit Fuel Adjustment Codes program, type EDITFLCD (RET) at any menu "OPTION:" field or the appropriate line number on the Fleet Control Files menu. The screen will then display:

Enter data as follows:
|
1. FUEL CODE |
Enter up to 3 alphanumeric characters to identify this Fuel Correction Code. EXAMPLE: Type A1 (RET). |
|
2. DESCRIPTION |
Enter a description for the Fuel Correction Code entered in Field #1. EXAMPLE: Type VANS. |
|
3. 1/8 |
Enter the percentage to be used to correct the default fuel calculation on the RA Close program if the fuel charge is for 1/8 of a tank of fuel. (Tank level entered on RA Close would be 7/8.) For example, assume a vehicle has a 16 gallon tank. If the vehicle checks in with the fuel gauge reading 7/8, it would mean that the tank contained 14 gallons (7/8 of 16) and that 2 gallons had been used. Assuming that fuel is charged at $2.00 per gallon, the charge would be $4.00 (2 gallons x $2.00). However, when a fuel gauge on a 16 gallon tank reads 7/8 it is more likely that perhaps 3 gallons may have been used. By entering a percentage in this field, a more realistic amount can be charged. The percentage entered in this field is used to multiply the default fuel charge and the result is then used for the fuel charge on the contract. Using the above example, if a Fuel Code of 130 percent was entered here and it applied to the RA, the charge for fuel would be $5.20. (1/8 of 16 gallons = 2 gallons x $2.00 = Default charge of $4.00 x 1.30 = $5.20) On the other hand, if the percentage entered here was 120 and was applicable to the contract used in the above example, the charge for 1/8 of a tank (2 gallons) of fuel would be $4.80. (Default charge of $4.00 x 1.20 = $4.80) Therefore, in this field, enter a percentage that will be used to modify the default fuel charge calculation when this Fuel Code is in effect from either the Model Code or the renter's bill-to company's Customer Record. EXAMPLE: Type 130 (RET). |

FIELDS 4 -9. |
In these fields, enter a corresponding percentage that will be used to modify the default fuel charge calculation when this Fuel Correction Code applies. The fraction shown on the screen represents the amount of fuel the system is charging for - not the remaining level of fuel in the tank. EXAMPLE: Type: 4. 2/8 120 (RET) User Tip: In the above example, if the vehicle were returned with 1/8 of a tank, the charge would be for 7/8 of tank. For a vehicle with the 16 gallon tank, the charge would be for 14 gallons. If the fuel was charged at $2.00 a gallon, the charge would be calculated as follows if this Fuel Correction code were in effect: 7/8 x 16 = 14 gallons 14 gallons x $2.00 = $28.00 x .90 = $25.20 |
The screen will then display:
