Definition: A drop charge is a fee charged to the renter when the vehicle is returned to a location other than the renting location. CARS+ supports two kinds of Drop Charges:

Standard Drops - These are the standard, advertised charges for one way rentals. Use the Edit Drop Charge program to define the normal drop charges for one-way rentals between owned locations, between owned and foreign locations, and between a group of locations located in a "drop zone".

Temporary Drops - These are temporary charges that override the Standard Drop Charges for a limited period of time. They are used to:

  • Make temporary adjustments in the fleet movement either encouraging or discouraging one ways for a specific class of vehicle.
  • This program can also be used to temporarily stop one way rentals between two locations (this is done by entering $9999.99 in the Drop Charge field).

Once these either expire or are deleted, the Standard Drop Charge records take affect once again. Use this program to set up these temporary drop charges.

User tip: Use a Restricted Drop Charge when:

NOTE: For those operations who quote rental rates in a foreign currency, be advised that drop charges set up in this program are always entered in local currency.


DROP CHARGE HIERARCHY

Temporary Drop Charges supersede Standard Drop charges that are effective for the same date. CARS+ first checks if there is a Restricted Drop Charge in effect before it attempts to find a Standard Drop Charge.


To access the Temporary Drop Charges program, type RSTDROP (RET) at any menu "OPTION:" field or the appropriate line number on the Rental Rates menu. The screen will then display:

Enter data as follows:

1. FROM LOCATION

Enter up to 6 alphanumeric characters to indicate the Location Code of the renting location involved in a one-way rental. (Owned locations must be previously defined in the Location File. Foreign Locations must be previously defined in the Customer File.)

2. TO LOCATION

Enter up to 6 alphanumeric characters to indicate the Location Code of the destination location. This may be either an owned or foreign location.

EXAMPLE: Type SFO (RET)

3. START DATE

Enter the date when this Restricted Drop Charge record becomes effective. This may be a date in the past or a date in the future.

EXAMPLE: Type 130111 (RET)

4. END DATE

Enter the date when this Restricted Drop Charge record is to be terminated.

EXAMPLE: Type 130511 (RET)

5. DROP TYPE
Drop Charges can be sensitive to a Drop Schedule Code. This is true of both Standard Drop Charges and these Restricted Temporary Drop charges. Drop Schedule codes come into a transaction either from the Rules record of the Rental Rate or from a CDPID Privilege. Enter:

T = This is a temporary drop charge to replace all drop charges that have a Schedule Code.

D = This is a temporary drop charge to replace all drop charges that do not have a Schedule Code.

User Tip: To cover both scheduled and non-scheduled drop charges, two records must be created.

6. CLASS
Enter either a single Vehicle Class Code or leave the field blank if the restriction applies to all classes.

7. DROP CHARGE
Enter the amount of the temporary drop charge. (Use local currency.) By entering the maximum amount allowed $9999.99 a one-way rental between the two locations will be blocked (this amount will NOT be added to the transaction).

PRESS "F1" AT "OPTION" TO SAVE THE RECORD.


GROUP MODE

Press Shifted F/5 while the cursor is in the OPTION field to put the program in Group Mode. In Group Mode when you press the F1 Save key, the record is saved but the screen does not get cleared of the data just entered (with the exception of the Drop Charge itself which is cleared). This allows for rapid data entry for restrictions for the same period of dates. For example to discourage one-ways from locations in the Northeastern part of the US to Orlando Florida during the weeks around Christmas, go into Group Mode and enter a record for New York to Orlando for that 2 week period. After saving, the From location can be changed to Boston, Philadephia, Newark, etc. To finally clear the fields, exit the program and then re-enter.
