CARS+ allows users to attached up to 99 lines of free form text to individual records in many of the rental files. For example, notes can be used to record specific requests on a reservation or give billing instructions to counter agents on how to handle a specific direct bill account.

By default, all users can create new notes, add additional lines of text to existing notes and delete lines of text on any note attached to any record. A field in Edit User Access File allows a manager to limit the access an individual employee has to all notes attached to all types of records. While this file allows a manager to define a "profile" that will allow limits to be defined differently for each type of note. For example, counter agents may add new lines of text to a note attached to an RA, but are restricted from editing any notes that management may have attached to Customer records or Rental Rate Codes.

To complete the set up, the Edit Note Code defined here must be assigned to the individual employees it should apply to in Edit User Access File. If the Edit Note Code field in a User Record is blank, the field mentioned above in the User record that applies to all types of Notes will govern the employee's access.

To access this program: To access the Edit Notes Type Codes program, type EDITNTS (RET) at any menu "OPTION:" field or the appropriate line number on the Security System Menu. The screen will then display:

Enter Data As Follows:

1. EDIT NOTE CODE

Enter up to two alphanumeric characters for the profile code.

EXAMPLE: Type 12 (RET)

2. DESCRIPTION
Enter up to 50 characters of a description of this level of notes access. This can be a job title.

EXAMPLE: SENIOR COUNTER AGENT (RET)

For the remaining fields, enter one of the following:

A (or blank) = The user will have complete access to existing Note records. That is, they can create, modify, or delete Notes.

B = The user can add to existing notes or create new notes. But, the user cannot change or delete any existing note lines. The cursor will not be able to access any line with an existing note. Only blank lines may be accessed.

C = The user can create new notes only. The cursor will not be able to leave the “OPTION:” field on any existing note. If the user attempts to move the cursor from the Notes Option Field on an existing note record, the following message will be displayed:

“CHANGES NOT ALLOWED TO THIS NOTE.” .

D = The user cannot create new notes nor can they add to or delete lines of existing notes.

Regardless of what is entered in this field, users can always “read” all notes.
