Each entry saved in this program writes a record to the Vehicle History File. In the Service Code File, Service Code 96 should be defined as "vehicle cleaning."

In order to track vehicle cleanings, all lot personnel must be entered into the existing CARS+ User Access file so that they are assigned an employee code.

User Tip: If it is not expected that any of these individuals will ever need to access any CARS+ programs, it is recommended that they be assigned a Menu Type which does not have any programs assigned to it.)

To access the Cash Wash Entry program, type CARWASH (RET) at any menu "OPTION:" field or the appropriate line number on the History/Maintenance Menu. The screen will then display:

Enter data as follows:

1a. VEHICLE#

Vehicles can either be accessed by their unit number or by their license plate number. To access a vehicle by unit number, enter the unit number of the vehicle washed and prepped. The vehicle's license plate number will automatically be displayed in the second field.

EXAMPLE: Type F9249 (RET)

1b. LICENSE#
To access a vehicle by license number, type slash "/" and up to 11 alphanumeric characters representing the license plate number of the vehicle washed and prepped. The vehicle's unit number will automatically be displayed in the first field.

Based on this information, the lot agent can decide if the unit should be refueled and prepped for re-rental.


Continue entering data as follows:

2a. DATE

Using the selected date format, enter the date the vehicle was prepped. Press RET to accept today's date.

2b. TIME

Using the selected time format, enter the time that the vehicle was prepped. Press RET to accept the current time.

3. ODOMETER

This field defaults to the system's current odometer reading. Enter the odometer reading at the time the vehicle was prepped.

User tip: A field in the Edit Misc Control Fields record can be used to block access to this field.

4. GALLONS PUMPED
Enter the number of liters or gallons of fuel pumped into the vehicle. This field will accept up to 5 digits in front of and 2 digits after the decimal point. This field will display liters or gallons depending on how the "Metric System Used" field is set in Edit Miscellaneous Control Fields.

5. NOTES

Enter up to 50 alphanumeric characters if a note is needed regarding the car wash.

Example: LOTS OF MUD ON CARPETS. TOOK 1 HR TO CLEAN (RET)

User tip: This note is shown on the Vehicle Wash History Report when run in detail.
6. LOT NUMBER
If used, enter the Lot Number of the staging area where the car was prepped.

7. STATUS
The vehicle's current status will display in this field, and can be changed.

EXAMPLE: Type A (RET)

8. EMPL CODE

Enter up to 6 alphanumeric characters which represent the employee code of the person who prepped the vehicle.

The employee code can be entered automatically if using a bar code reader. The bar code is validated against data in the BarCode Number field of the User Access File. If a match is found, the usercode is entered in this field.

This field displays the name of the employee (from the User Access File) whose code was entered in the previous field.

PRESS "F1" AT THE "OPTION" FIELD TO SAVE THE RECORD.


A car wash entry automatically creates a Vehicle History record using Service Code 96. The value in the Gallons field is saved to the text field of the history record. The last RA# on file is saved as the history record RA# regardless of the RA status. The value entered in the odometer field updates the current odometer reading in the Vehicle Inventory record.

NOTE: The program will not allow a wash to be entered when the odometer is less than 5 miles greater than the previous wash entry. If the odometer is less than 5 miles greater than the previous wash, a message will be displayed: "LAST WASH LESS THAN 5 MILES AGO, WASH HISTORY NOT ADDED".

For some users, an Equipment Ready ticket is automatically printed.


CAR WASH ENTRY ON HANDHELD TERMINALS

On a handheld terminal, the following fields display after entering a unit:

Vehicle number
Model
Color
License number

The next 5 rows display the current hold codes and description (as space permits) applicable to the unit. Press (RET).

The next 5 rows will then display vehicle history records for unrepaired damages. Press (RET)

The following fields then are shown in the area where the hold codes were:
