To access the program, type MRGGOLD (RET) at any menu "OPTION:" field or the appropriate number on the Hertz Australia Menu. The screen will then display:

Enter data as follows:

1. GOLD FILE PATH
AND NAME

Enter the file and path name of the file to be merged.

EXAMPLE: Type 13 (RET)

This program expects a fixed field length ascii file (the details of which are beyond the scope of this chapter).


During this merge process:

The Number 1 Club number on records being merged is check against the existing CARS+ customer file. If a match is found, the CARS+ customer record is re-written with the data supplied. If a match is not found, a new CARS+ customer record is created.

Gold Instruction Codes are processed. Up to 5 may be attached to each customer record. For those customers with a code of "45", the field "No Lights" in their Customer record is set to "N" (meaning, the customer does not wan their name displayed in lights at Gold locations.) Other codes are checked against the records in the Gold Instruction Codes file and the corresponding descriptions (such as "Prefers non-smoking car") are attached to the Customer Record as Notes. Refer to the chapter of this manual titled Edit Gold Instructions for more information.

Other distinctions that are made in the Notes File are for those Gold customers that are designated as :

  • Five Star Gold Customers
  • Presidents Circle Customers
  • American Express Centurian Customers


REQUIRED SET UP STEPS:

Part of the data merged in this process indicates the Gold customer's preferences for coverages. Therefore, the following Options and Option Sets must be created in CARS+:

A. Option Codes

The following Option Codes must be set up prior to running the Gold Merge:

LDW - An "L" type option that has a responsibility level (other than zero)
PPI - An "L" type option with zero responsibility level
SDW - An "L" type option that has a responsibility level (other than zero) and also includes PAI.
LIS - An "L" type option with zero responsibility level and also includes PAI

B. Option Sets

Option Sets must be set up with the same codes as the Option Codes listed above. And only one option should be included in each set. That is:

Option Set "LDW" must be set up with the Option "LDW" as the only item in the set.

Option Set "PPI" must be set up with the Option "PPI" as the only item in the set.

Option Set "SDW" must be set up with the Option "SDW" as the only item in the set.

Option Set "LIS" must be set up with the Option "LIS" as the only item in the set.

Note: When a Gold Customer's profile indicates one of the Option Sets listed above, the corresponding Option will automatically be flagged as accepted on a rental agreement.


C. Gold Instruction Codes

Gold Instruction Codes are used to interpret certain numeric codes into messages that will be linked as Notes to the records of Gold Customers. These Notes can then advise the user of customer preferences regarding such things as a smoking or non-smoking car, if the customer has physical disabilities, or if the customer prefers a particular make of vehicle.
