This subwindow shows fields related to multi-month, longterm and lease contracts. Note, several of these fields also appear on the G subwindow of RA Open. To access the Multi-Month Window, type AM (RET) at the "OPTION:" field on the program's main window.

USER NOTE: For clients that use the CARS+ Payments Service (WorldPay or Windcave) the multi-month logic can be configured to pay off the closing contract each month with the client's credit card and seek an authorization for the estimated charges for the next month. Contact Thermeon Customer Support if you wish for this feature to be turned on as it is turned off by default. This feature can either seek a pre-authorization for the estimated charges or create a credit card deposit for the estimated charges at the start of each billing cycle. If you desire to take deposits, the renters credit card must be entered both in the Main Window of RA Open and in the C subwindow when opening the first RA in the series.

The Data fields are as follows:

1. DAYS IN
BILLING CYCLE

Anything entered in this field will invoke the multi-month rental logic. See the Appendix on Overview - Multiple Invoiced Rentals for details.

Note: Access to this field is controlled by a field in the user's Edit User Access record. Users who have not been give the authority to create multi month rentals will find that their cursor does not access this field. This same field also grants the ability to edit these fields on existing RAs.

If a contract is designated as a Multiple Invoiced rental, this field cannot be edited.


For Long Term Rentals, two additional display only Y/N fields will appear on line 6:

The first field displays a "Y" if this rental is currently defined as a Long Term Rental.

The second field will display a "Y" if when the last time this contract was closed and cloned by the Longterm Invoiced Rentals program, the system was unable to get a new credit card authorization for the credit card on the rental.

START DATE /ODOMETER/FUEL
These display only fields are only used by the system on multi-month rentals. Displayed here will be the original check out date, odometer and fuel tank reading from the very first RA in the chain of closed and cloned rental agreements which are part of a multi-month rental.

THE FOLLOWING FOUR FIELDS ARE ONLY USED ON LEASE CONTRACTS. Similar fields exist in the Master Contract file, data from those fields will default here on son contracts.

LEASE #
This display only field is used only on Leasing contracts. Displayed here will be the Location Code of the location that signed the original lease contract with the customer along with the Lease number.
3. INFLATION ADJ. MONTHS

Enter the frequency (in the number of months) that the Time rate on lease contracts should be adjusted for inflation. For example, entering the number "3" indicates that once every three months (or quarterly), the system will adjust the Time charge rates for inflation using the data in one of the following two fields.

DATA CAN BE ENTERED INTO EITHER FIELD 4 OR FIELD 5 BUT NOT BOTH.
4 INFLATION PERCENTAGE

If the inflation rate is to remain constant for the entire life of this lease, enter the rate in this field. This field will accept 6 characters before the decimal point and 2 characters after. This field will also accept a negative sign, "-", before the percentage if the rates are to decrease each time they are adjusted.

5 INFLATION CODE
If the inflation rate is to tied to a published Inflation Index whose rate may vary over the file of the lease, enter the Index Code in this field.

For reference purposes, this field displays the first RA number in the series (the original RA number).
