Use this program to create and edit local CDPID account records. (CDPID is the abbreviation for Corporate Discount Plan ID.)

Typically, each month Hertz operators merge into their system an update of CDPID rates and contract records from Hertz corporate. To distinguish them from the Local CDPID logic discussed in this chapter, those records are referred to in this chapter as "international" CDPID records.

The Local CDPID logic allows Hertz operators to:

extend special rates, privileges, and/or discounts to their local accounts. Typically these are bill-to customers or certain vendors. Additionally, a local CDPID can can be assigned to individual customers.

define local rates and privileges to an international CDPID. When a customer (whether bill-to company, organization, or individual) has both a Local CDPID record and an international one, the Local CDPID record takes precedence.

Local CDPID records can be searched on the Reservation and RA Open screens by either CDPID number of by the name of the company or organization.

To access the Edit Local CDPID Records program, type EDLCDP (RET) at any menu "OPTION:" field or the appropriate line number on the Customer Maintenance menu. The screen will then display:

User tip: Note that the "F4" key has 2 functions: Delete the current record OR scroll back to the Previous record. Upon pressing F4, the following question displays at the bottom of the screen:

DELETE RECORD = 'D' OR READ PREVIOUS = 'P'?

Enter data as follows:

1. CDPID NUMBER

Enter up to 9 alphanumeric characters representing the corporate ID number for the Account Name that will be entered in Field #4. (International CDPID numbers are 10 characters.)

EXAMPLE: Type 927927 (RET).

Note: If less than 9 characters are entered, leading zeros will fill in automatically after pressing (RET). Thus, the above number will be changed to: 000927927.

2. ALT CD NUMBER

This field is provided as a reference for certain CARS+ users who have an obsolete CDP number for the same account. Otherwise, skip this field.

EXAMPLE: Press (RET).

3. EFFECTIVE DATE

Using your selected date format, enter the date that this CDPID number becomes effective.

If the date entered matches that of an existing record, that record will be displayed on the screen.

EXAMPLE: Type 010102 (RET).

4. ACCOUNT NAME

Enter up to 70 (yes, 70!) alphanumeric characters for the company name.

EXAMPLE: Type: SHELDON BARNES AND AUSTIN LTD (RET)

5. SALESMAN

If making use of the salesman feature of CARS+, enter the Employee Code (from the User Access File) of the salesperson who services this account.

EXAMPLE: Type MBG (RET)

6. TERMINATION DATE

If applicable, enter the date on which this record will expire. Otherwise, you may leave this field blank.

EXAMPLE: Press (RET)

7. E-MAIL

This field links an e-mail address to a local CDPID for certain WebRes configurations. When the CDPID is applied to a WebRes screen, the confirmation is e-mailed to this address as well as the renter and travel agent.

8. BILL-TO

If rentals for this corporate account record are supposed to be set up automatically as direct bill rentals, enter up to 6 alphanumeric characters to indicate the particular customer number that should be the direct bill party.

EXAMPLE: Type SBALTD (RET)

9. 3RD PARTY
This field is reserved for a future enhancement.

10. BLOCK OPTION SALES
This field is used to block the user from adding options or the Fuel Purchase Option to a RA for this Local CDPID. Enter:
Y = When this Local CDPID is on the RA, do no allow the user to sell options or fuel when opening the RA.
N (or blank) = The restriction about selling options and fuel is not in place.
EXAMPLE: Type Y (RET)

User tip: The field "Option Block Override" in the User Access File record can be set so that certain users can bypass this block.

11. WEB CDP RATES ONLY

Some Local CDP rates are limited to certain classes of vehicles. When that is the case, the standard configuration for WebRes is to use the default Web rate to fill in rates for the other classes of vehicles. This field can prevent that from happening. Enter:

Y = This will cause WebRES to display only the rate associated with this CDPID record. It will not supplement classes not included the CDP rate with classes from the default Web rate.

N = Classes that are not included in the CDP rate will be filled in with the Web rate.

EXAMPLE: TypeY (RET)

12. RA TYPE

The RA Type Code field on reservations and RAs is used to track the type of the business (government, tour, retail, leisure, etc.).

If this CDPID record should furnish a single Type Code to the Reservation or RA Open program for all of their transactions, enter up to 2 alphanumeric characters representing the RA Type. This code must already have been created in the Edit Valid Type Codes program.

EXAMPLE: Type TR (RET)

User tip: If the Corporate Contract references a rate and the rate has a default RA Type Code, the Type Code from the rate is used (not the Type Code in this field.)

13. ALLOW PREPRINTS
This field is used to allow for preprints by this CDPID record.

Y = Yes, Allow this CDPID record for preprints.
N (or blank) = No do not allow for this CDPID record for preprints.

EXAMPLE: Press (RET)

LAST USE DATE

This field displays the date that the Local CDPID number was last used when opening a RA. This field is updated automatically and cannot be accessed from this screen.

The screen will then display:

OPTION: __ EDIT LOCAL CDPID RECORDS

CDPID NOTE RECORDS

Two types of Notes can be created for a Local CDPID account.

A. Regular Note
These notes, like notes attached to RAs, Reservation, or Customers, cause the Notes window to blink when the CDPID is present on a transaction in the Reservations, RA Open, RA Close, Batch RA, and Edit RA programs. The "KEY" for local CDPID records is: "CDP" followed by a space and the 9 digit CDP number. Here's an example:

OPTION: __ NOTES

Key CDP 000009898
1 THIS IS A SAMPLE NOTE.

B. Display only Notes at RA Close
These notes, which display only in on-line RA Close, are meant to prompt the rental agent to give the renter something (such as a discount coupon for a future rental).

When a CDPID or Local CDPID is on the RA with this special type of note attached, the note automatically displays in a special window when the RA is first brought up on the RA Close screen. The note cannot be altered from RA Close. The user is required to enter their usercode and password to log the fact that they saw the note. This feature is for on-line RA Close only. These notes do not display in any other program.
Refer to the chapter General Data Entry Instructions for details.
