Use this program to maintain fuel rates associated with Fuel Cards. Rates can be created and edited using this program.

Fuel rates can vary by date, fuel type, Vehicle Class, Pricing Code, and Rate Product. Because of that, a hierarchy has been established to determine which items take precedence over the others when the RA involves a Fuel Card. Please refer to the section towards the end of this chapter that addresses the hierarchy.

Hertz users can use this program for CDPID accounts in lieu of the Fuel Card Rate field in the Edit Model Codes file.

To access the program, type EDITFCR (RET) at any menu "OPTION:" field or the appropriate number on the Rates Control Menu. The screen will then display:

Data is entered into this screen in much the same way as the rates page of the Edit Rental Rate and Rules screen. That is, when the cursor is on Line 1, pressing (RET) moves the cursor to the right column by column and eventually onto the next line.

Displaying previously stored records:

To display previously stored records:

1. From the "OPTION" field, press (RET) which will drop the cursor down to line one. From that position press the F8 "Retrieve" key. The following message will display:

Display only current records? Y/N

Answering "Y" will display all records currently in effect. Expired records and records with effective dates in the future will not be displayed.

Answering "N" will display all records whether or not they are currently in effect.

2. Entering a Rate Set and then pressing F8 will display all records for only that Rate Set.

3. Skipping the Rate Set Column and entering a Rate Code and then pressing F8 will display the records for only that Rate Code.

4. Data may be entered in any one or more of the first 5 columns. Then when F8 is pressed, the appropriate records will display. For example, skipping the Rate Set and Rate Code columns and entering a Pricing Code and Fuel type will display the records for only that Pricing Code and Fuel type.

5. The Effective Date column can be used in a similar manner to retrieve records. Unlike the others, however, the data entered doesn't need to be an exact match to retrieve the records. Rather it limits the data to records that are in effect at that time.

Entering and Viewing Fuel Card Rates:

Enter data as follows for Fuel Card Rates:

RATE SET

Enter up to 2 alphanumeric characters representing a Rate Set. This field is required.

EXAMPLE: Type A (RET).

RATE CODE

Enter up to 5 alphanumeric characters representing a Rate Code (Rate Product). This field is required.

EXAMPLE: Type CORPA (RET)

PRC CODE

If Fuel Card Rates vary by Pricing Code, enter up to 2 alphanumeric characters representing the Pricing Code in this field.

EXAMPLE: Type 1 (RET)

CLASS CODE

If Fuel Card Rates vary by vehicle Class Code, enter up to 4 alphanumeric characters representing the Class Code in this field.

EXAMPLE: Type F (RET)

FUEL TYPE

If Fuel Card Rates vary by Fuel Type, enter up to 1 alphanumeric character representing the Fuel Type in this field.

EXAMPLE: Type G (RET)

EFF DATE

In your selected date format, enter the date on which this record is effective.

EXAMPLE: Type 010104 (RET)

RATE PER KM

Enter the rate charged per km (mile) for RAs meeting the specifications entered in the first 6 columns.

HIERARCHY

For RAs with a Fuel Card, the fuel card rate always takes precedence over the regular (non-fuel card) rate.

Because multiple items can influence which Fuel Rate is in effect on any given RA, a hierarchy has been established that dictates which items take precedence over the others. The hierarchy from lowest to highest is:

In order to enter data more efficiently, Fuel Card Rates can be cloned.

VIEWING MORE RECORDS

Up to nineteen records appear on the screen at any time. When the cursor is at the OPTION Field, press the F2 key to pull up the next 18 records. " Press the F4 key to display the previous 18 Rate Records.
