For Hertz locations within the US and Canada, use this program to:

All other Hertz Locations should use the International merge program.

To access the Merge US/CA CDP Data program, type MRGCDPID (RET) at any menu "OPTION:" field or the appropriate line number on the Hertz Programs Menu. The screen will then display:

9 Process CONTRACT records Y

1BEGIN 2 3ERASE 4 5 6 7HELP 8

Enter data as follows:

1. RATE GROUP

Most CARS+ users should accept the default of "ALL" in this field by pressing (RET).

However, to limit the update to certain rate sets (such as when an operation is part of a shared system), enter a Rate Group. A Rate Group is comprised of one or more Rate Sets. In order to run this program for a response other than "ALL", at least one Rate Group must be set up. Refer to the chapter of the manual titled Edit Rate Group Codes for more information.

EXAMPLE: Press (RET)

2. TEMPLATE RATE PROD CODE

Enter the name of the Rate Product whose rules are used as a template for receiving CDPID rates.

EXAMPLE: Type TEMP (RET)

3. RATES EFFECTIVE DATE

Enter the first day of the month for which these Rates are effective. If using CARS+ Internet, the date will be provided in the e-mail message from Thermeon. If using CARS+ on a stand-alone system, this date will be on the diskette label.

This date must be the current date or a date in the past. If you attempt to enter a future date, the following message will display:

EFFECTIVE DATE CANNOT BE GREATER THAN TODAY

EXAMPLE: Type 080104 (RET)

4. CLONE FROM EXISTING RULES ON NEW

Enter:

N = If a rate change is found for an existing rules record, a new record is created using the product code and effective date and the rules from the Template Rate Code designated in Field 2.

Y = If a rate change is found for an existing rules record, a new record is created using the product code and effective date and the rules from the existing rate product.

EXAMPLE: Type N (RET)

User tip: Note that this field applies only to changes found in the Rates page and not the Rules part of the record. This field also works in conjunction with Field 5.

5. USE TEMPLATE FREE MILES
This field is provided for licensees in Canada that are allowed to impose a limit on the free kilometers allowed on corporate rates. Instead of the free kms coming from the corporate rate data, during the merge the free km limit from the Template Rate will be used. Enter:

N = No, do not use the free km limits on the template rate. Accept the free miles/kms on the corporate rates.

Y= Yes, impose on all corporate rates the free kms limit on the Template Rate product

EXAMPLE: Type N (RET)

6. LOCAL MILEAGE RATE
Like the field above, this field is provided for licensees in Canada that are allowed to impose a limit on the free kilometers allowed on corporate rates. If the field "Use Template Free Miles" is set to "Y", enter the rate that should be charged for miles/kms over the free allotment.

EXAMPLE: Press (RET)

7. FORCE NEW RULES RECORD FOR EVERY RATE

Enter:

N = No, it is not necessary to make a global rules change to all of the CDPID rates

Y = This response should be used if you want to make a global change to the RULES of ALL of your CDPID rates. In order to do that, first make the change you want to impose on your Template Rate product. Then the response in Field #4 should be "N", and the response in Field #5should be "Y". This, in effect, means that you want to create a new rules record for every CDPID rate using the rules from your current Template Rate product and the effective date entered in Field #1.

EXAMPLE: Type N (RET)

8. PROCESS IDNAME RECORDS

Y = The CARS+ Corporate Account file will be rebuilt, replacing the old file with the new information from the Hertz IDNAME.TXT file. Any manual edits or additions to Corporate Account Records will be lost. This is the default value for US and Canada locations.

U = The CARS+ Corporate Account file will be updated with data from the Hertz IDNAME.TXT file. Records that exist in the CARS+ file but which do not exist in the Hertz file will be preserved. This is the default setting for locations in Mexico. NOTE: When running in this mode, if Hertz drops a company out of their file (e.g., they no longer have a corporate contract with that company), that number will not be deleted from the CARS+ file.

N = The CARS+ Corporate Account file will not be rebuilt or changed in any way.

EXAMPLE: Press (RET)

NOTE: The default setting should not be changed unless specifically instructed to do so by Thermeon Customer Support.

9. PROCESS CONTRACT RECORDS

Y = The CARS+ Corporate Contract file will be updated with data from the Hertz CONTRACT.TXT file.

NOTE: Unless specifically told to do so by Thermeon's Customer Support Dept., you should always enter "Y" in this field.

N = The CARS+ Corporate Contract file will not be updated with data from the Hertz CONTRACT.TXT file.

EXAMPLE: Press (RET).

NOTE: The default setting should not be changed unless specifically instructed to do so by Thermeon Customer Support.

PRESS "F1" AT "OPTION:" TO SAVE THE RECORD.
