Before entering data, you must know the vehicle number, the date and time of the event, and the odometer reading at the time of the event you are recording.

Enter data as follows:

1. VEHICLE NUMBER

Enter:

Up to 6* alphanumeric characters to indicate the inventory number.

Press Shift F7 to access the Vehicle File Search.

EXAMPLE: Type 262 (RET)

If the inventory number does not exist, the data entered is checked against the vehicle license plate numbers on file. A match of either the vehicle number or the license plate will bring the vehicle record to the screen

User tip - Check digits: If your Control Files are set to require a vehicle check digit, enter up to 7 alphanumeric characters. The seventh or last character will be one of the following:

1. For Hertz licensees, the last character of the vehicle number is the standard Hertz check digit.

2. For all other users, the check digit is the last character of the vehicle license number. After the check digit is entered and used to validate the vehicle number, it is automatically erased off the screen.

EXAMPLE: Type 914592A (RET)

2. SERVICE CODE

Enter a Service Code from the range 01 to 10 or press Shift/F7 to view a list of those codes.

EXAMPLE: Type 1 (RET)

After entering a vehicle number and service Code, various information will display:
  • Last Odometer reading
  • The date/time and odometer for the last time this work was done on this vehicle. ( Check this against the date that you are about to enter to see if the fact of this service has already been recorded.)
  • Any open Hold Codes against the vehicle.
3. CURR PM ODOM

Enter up to 6 numeric characters to indicate the odometer reading which existed at the time of the event being recorded.

Realize that when entering past events, the reading you will enter will be less than the 'Last Odom" reading displayed.

EXAMPLE: Type 7261 (RET)

User Tip: If the odometer entered here is "excessively" different that the current odometer, (see User Tip below) the following question will be displayed:

DO YOU WISH TO UPDATE KM?

Enter:

Y = Yes, the current odometer on the vehicle will be reset to the value entered in this field.

N = No, the current odometer on the vehicle will NOT be updated.

User tip: The field labeled "HSTUPM Odom Diff" in Edit Misc Control Fields labeled is used to define how much of a difference is considered "excessive".

4. DATE

Using your selected date format, enter the date of event. This date should correspond to the date the odometer reading was taken. Press RET to default to today's date.

EXAMPLE: Type 033116 (RET)

5. TIME

Using your selected time format, enter the time of the event. Press RET to default to the current time.

EXAMPLE: Type 0930 (RET)

6. REPAIR CODES
Access to this field is restricted to users who have been granted access via the field labeled "Repair Access Level" in Edit Miscellaneous Control Fields and their menu access in Edit User Access File.

Enter up to five 2 character Repair Codes separated by commas.

If one of the Repair Codes has been defined as covering a major maintenance task (such as 30,000 mile service):
  • A second History record will be written to record that fact
  • Any Hold Code associated with that service will be removed
  • For Hertz users, the vehicle will be queued up for transmission to OKC via MQVEH.

EXAMPLE; Type 12,E4,56,XX (RET)

7. UPDATE ODOM
Enter:
Y = Yes, update the odometer to the reading entered in Field 3.
N = No, do not update the odometer. The last odometer reading displayed is correct and the entry in Field 3 is not the current reading.
