Such a change can also be made on the third page of the Vehicle Inventory File. However, because data of a sensitive nature is entered on page 3 of the Inventory File, access to that page is often times quite limited. Therefore, this program allows the user to edit the grounding information without accessing the Vehicle Inventory File.
To access the Edit Vehicle Grounding program, type EDITGRND (RET) at any menu "OPTION:" field or the appropriate line number from the Fleet menu. The screen will display as follows:
| OPTION:__________ EDIT VEHICLE GROUNDING 1 Vehicle # Make Model Color License # 2 Grounding Odom Current Odom 3 Grounding Date 4 Status Current Status 5 Service Code 6 Employee Code 1SAVE 2 3ERASE 4 5BACKUP 6 7HELP 8 |
Enter data as follows:
|
1. VEHICLE # |
Enter the unit number of the vehicle record to be edited, or press Shift/F7 to search the vehicle file. If there is only one vehicle on file with the unit number entered, all pertinent data relating to that vehicle will be loaded. If more than one vehicle is on file with the unit number (multiple owners), the Vehicle File Search program will automatically be called and all vehicles with a matching unit number will be displayed for selection. EXAMPLE: Type 612092 (RET) |
|
The next group of fields display information about the vehicle entered in Field # 1. |
|
|
MAKE |
Make of the vehicle. |
|
MODEL |
Model code of the vehicle. |
|
COLOR |
Color of the vehicle. |
|
LICENSE # |
License plate number of the vehicle. |
|
2. GROUNDING ODOM |
Enter the new odometer reading to ground this vehicle. It can be one kilometer or mile greater than the current odometer reading. Therefore, if the current odometer is 30123, you may change it to 30124 -but nothing higher than that. By setting the grounding odometer to one mile greater than the current odometer, the vehicle will be freed up for one more rental, but will be grounded on return. EXAMPLE: Type 30124 (RET) |
|
3. GROUNDING DATE |
Enter the new date to be imposed by CARS+ to ground this vehicle. This date can be edited to any date between the current system date and the current date plus the maximum number of override days defined in the Miscellaneous Control Record. Therefore, if the current system date is 041204, and the maximum number of days specified in Edit Miscellaneous is 30 days, then the grounding date can be advanced as far as 051104. Again, this change is designed to only open the vehicle up for a few more rentals, it is not used to extend the life of a vehicle for any significantly long period. EXAMPLE: Type 051104 (RET) |
|
4. STATUS |
Enter the status code in which you wish to place the vehicle. EXAMPLE: Type A (RET) |
|
5. SERVICE CODE |
Enter the Service Code that has been designated for grounding edits. This Service Code must already exist in the Service code file. EXAMPLE: Type 97 (RET) |
|
6. EMPLOYEE CODE |
Enter the employee code of the person entering this transaction. EXAMPLE: Type MEGAN (RET) A field will then appear at the bottom of the screen requesting the corresponding password. |
The screen will then display:
| OPTION:__________ EDIT VEHICLE GROUNDING 1 Vehicle # 612092 Make FORD Model TAURUS Color BLUE License # CHA112 2 Grounding Odom 31124 Current Odom 31123 3 Grounding Date 05-11-04 4 Status A Current Status A 5 Service Code 97 6 Employee Code MEGAN 1SAVE 2 3ERASE 4 5BACKUP 6 7HELP 8 |
PRESS "F1" AT "OPTION" TO SAVE THE RECORD.
User tip: In order for users to have the ability to edit the grounding data regardless of owning location, the GVT record "CDA" must be set up. (Contact Thermeon's Customer Support Dept. for more information about this.)
