Use this program to grant "read-only" access to the RA Open screen. Users accessing the RA Open screen from this program may look at RAs but cannot make any changes to them.

To access the program, type LOOKOPEN (RET) at any menu "OPTION:" field or the appropriate number on the Look Only Menu.

Use one of the following methods to bring up a RA:

A. ENTER THE RA NUMBER

From the Option Field enter the RA Number preceded by a pound sign "#".

EXAMPLE: Type #12345678 (RET)


B. ENTER THE FORM NUMBER

MAIN WINDOW

OPTION:

If forms control logic is being used, from the Option Field enter the letter "F", the pound sign "#", and the form number ( “F#form-number”) (RET).

EXAMPLE: Type F#18563472 (RET)

Note that the “Require Form Number” feature must be activated in order to retrieve and RA by this method. Please refer to the chapter Edit Locations to activate this feature.


C. SCROLL THROUGH THE FILE

Use the Page Up and Page Down keys to scroll through the file. "Page up" scrolls backward one record at a time. "Page down" scrolls forward one record at time.

D. SEARCH THE RA FILE

By pressing F6 from the "OPTION:" field a menu of Files will be displayed on the lower half of the screen. Select "A" to search the RA File. The RA File search screen is illustrated below:

The file can be searched in several ways:

Press F1 to search by Customer Name

Press F2 to search by RA Number

Press F3 to search by Vehicle Number

Press F4 to search by Bill-to Customer Number

Press F5 to search by Status (Open or Closed) and then by Date

Press F6 to search by Vehicle License Number


F7 Key : To facilitate searching the RA File, an additional tool is available. The F7 key allows the user to define a date range and sort order for the search.

After pressing F7 make entries as follows:

START AT: _

Enter a single character:

D = Descending order (this is the default). This option sorts and displays the data starting with the RA with the most recent DBR date selected and go backwards to the oldest DBR date selected.

A = Ascending order. This option sorts and displays the data starting with the oldest DBR date selected and go forward to the most recent DBR date selected.

EXAMPLE: Type D (RET)

DATE RANGE

Enter the date range for the records to search and display. The default for both fields is the current date.

EXAMPLE: Type 010104 013104 (RET)

Upon pressing (RET) the cursor returns to the search “OPTION”. Select one of the search methods such as

F1 to search by the renter's last Name,

F3 to search by Vehicle Number,

F4 to search by Bill-To Number, or

F6 to search by the vehicle's License Plate Number.

The data selected for the display will be within the Date Range and sorted in Ascending or Descending order by DBR Date. Notice that the sort is by DBR date, not the actual closing date (or opening date for those RAs still open.) However, the dates displayed are the actual closing dates and opening dates. Therefore, the days displayed may appear to be out of sequence. Remember, however, that the actual sort is according to DBR date which is NOT displayed.

(Note that when using F2 to search by RA# or F5 by Status/Date, the F7 sort selection is ignored.

When using the F7 feature, the other function keys behave more like “exact matches” as opposed to “Start With” keys. The implications are as follows:

F1 – Name. At least one letter must be entered to start the search. Although the search will begin with the entered value, unlike the standard search program, it will NOT go beyond it. Therefore, provided the date range criteria was met, if you enter “SMITH” to search the names illustrated in the list earlier, the search would include only those from Smith, Adam to Smithson, James and then no further. (The standard search would continue on to Smitz.)

Warning: It is recommended that you be as accurate as possible when entering a name in order to limit the search and sort. If you entered only the letter “S”, the system will find every RA with a customer’s last name beginning with “S” (within the date range) and sort them accordingly in either ascending or descending order by DBR date. This can create a noticeable pause in the display of records on the screen. The larger the RA File is, the more pronounced this delay will be

F2 – RA#. The additional features of F7 are ignored when searching by RA number.

F3 – Vehicle #. Requires entry of an exact vehicle number. The display will be only those RAs for that one vehicle with DBR dates within the date range requested and displayed in the requested order (ascending or descending).

F4 – Bill To #. Requires entry of an exact Bill To Customer number.

F5 – Status/DBR Date. The additional features of F7 are ignored when searching by Status and DBR Date..

F6 - License #. Requires entry of an exact License Plate number of a single vehicle.


Uses of this feature:

Example 1: Obtain a display of the most recent RAs for a particular vehicle from the most recent contract going backwards to the one before that, for the past three months:

HOW: Use F7 and request Descending order (D) and a date range of 3 months ago to today. Then F3, enter vehicle number.

Example 2: Obtain a display of the RAs for customers with the last name of Lampert during the past November and December. Display should begin with November and continue through December.

HOW: Use F7 and request Ascending order (A) and a date range of November 1 to December 31. Then F1, enter customer’s last name of Lampert.
