INSURANCE DATA SUBWINDOW

This subwindow is used to view or enter the insurance policy information on the renter or the direct bill party. This information can be entered on any RA. However, there are three ways to require that the data be present in order to save the RA.

Required by Type Code:

A field in the Valid Type Code file can be used to require that data be entered in all fields of this subwindow in order to save a RA. Therefore, if the Type Code entered in Field 9 of the main window requires this data, the RA cannot be saved without it.

Required by Class Code:

A field in Edit Class Codes (GVWR - gross vehicle weight rating) can be used to require that the data in this subwindow be completed in order to save a RA.

Required by Customer Type:

A field the Customer Type Code record can be used to require data in the first 4 fields of this subwindow in order to save the RA.

If the insurance data is required, the following must be done:

1. OWN INS CO

A customer record must already exist for the individual’s or direct bill company’s insurance company. Enter up to 6 alphanumeric characters representing the customer number.

Or press Shift/F7 to invoke a search of the customer file and select the customer that way.

EXAMPLE: Type INS001 (RET)

2. POLICY NAME

Enter up to 20 alphanumeric characters representing the name for the insurance policy.

EXAMPLE: Type HARTFORD AUTO INSUR (RET)

3. POLICY NO

Enter up to 15 alphanumeric characters representing the policy number.

EXAMPLE: Type JEG1020MMBG0502 (RET)

4. POLICY EXP DATE

Using your selected date format, enter the expiration date of the policy.

Note that if this date is required (as defined by the Type Code) and the return date on the RA is later than this date, the warning message shown below will be displayed and the RA will be prevented from being saved.

If the Type Code does not require this data, any expiration date is accepted, even one in the past.

5. POLICY DEDUCT

Enter the policy deductible.

EXAMPLE: Type 500.00 (RET)


Fields 6-9 are Specific for Trailer Rentals to add the option for the customer's Towing Vehicle Information. (Check with Thermeon Support for this feature.)

Enter up to 10 alphanumeric characters that represents the make of the renter's vehicle that will be towing the rental trailer.
7. Model
Enter up to 10 alphanumeric characters that represents the model of the renter's vehicle that will be towing the rental trailer.
8. License
Enter up to 10 alphanumeric characters that represents the license plate number of the renter's vehicle that will be towing the rental trailer.
9. State
Enter up to 4 alphanumeric characters that represents the state of the license plate number of the renter's vehicle that will be towing the rental trailer.


Any changes to data displayed in this window will update the customer’s insurance data, and the changes are logged in the Customer Log file.

When the data in this subwindow is required and it has not been entered, the following messages display when attempting to save the RA and the save is blocked:
