I. The Basics of How Reservation Interface Works

Every time the Reservation Center sends a transmission (referred to as a 'batch'), a program runs to merge the reservations into CARS+. Additionally, an email message is sent to your Group EMail account (accessed via the CARS+ Internet Switchboard) or an alternative email address specified in the location control file. This e-mail is generated by Thermeon's system; it is not from OKC. It contains a summary of the individual reservations in the batch. A "batch" may contain a single reservation, multiple reservations, or a nightly report.

These e-mails need to be monitored for rejections and confirm requests. If a batch contains no problems or confirm requests, you can delete it without any further action.


II. Types of Reservations

The status of each reservation will be one of the following:

The last line of this report is a "totals" line listing the number of reservations at each status in that batch.

A. New, changed, and cancelled reservations: a single line is shown for each reservation sent. This line will contain the Hertz confirmation number, the status, the CARS+ reservation number and the renter's name.

Reservation for the current day: The entire detail of the reservation is shown, and the reservation is merged into CARS+.

B. Bad cancel: This is an attempt to cancel a reservation that is not found in CARS+.


C. Confirm request: The entire detail of the reservation is shown and the text "CONFIRM REQUEST" is at the top of the detail. The reservation is NOT merged into CARS+. Respond to OKC by whatever means you normally use (not by replying to the email message sent to your Group Email account) as to whether or not you can accept the request. We recommend not deleting the email until after you have responded to OKC.


D. Rejected reservation: This will contain one or more lines detailing why the reservation was rejected. The reservation is NOT merged into CARS+.



In this example for an invalid return location, the beginning and end of the of the rejection notice is shown.

If the batch contains a rejected reservation, determine the reason for the rejection and rectify the problem. Then re-merge the reservation using the Hertz Res Interface Log program on the Hertz menu. Again, we recommend not deleting the email until after you have fixed the problem and re-merged the reservation.


III. MISSING RESERVATIONS

Most of the "missing reservation" problems are due to one of the following factors:

A. The Reservation Center has not sent you the reservation yet. For Hertz locations, the Res Center will not send the reservation until 90 days prior to the pickup date regardless of how early it was booked. In other words, if someone call the 800 number on January 10th and books a reservation for pickup on August 1, the Res Center will not send that reservation until sometime the first week of May.

B. The reservation was rejected by CARS+ because CARS+ was unable to merge it. The Res Center cannot be of any assistance to you when a reservation is rejected by CARS+. Therefore it is absolutely imperative that the person assigned to monitor the email for the reservations looks at each and every e-mail to check for rejections (and confirmation requests).

C. When a customer arrives at the rental counter and has a confirmation number from the Reservation Center and that reservation cannot be located in CARS+, we recommend that rental agents not call the Res Center. Instead, they should contact the person who is in charge of monitoring the emails. The "email person" should search the emails for that confirmation number to find the report on that reservation. If the reservation was successfully merged into CARS+, the report will show the CARS+ reservation number. If the reservation was rejected, then the email will have the necessary information to open the RA (pickup/return dates, rates, etc.)

D. If you cannot resolve the problem, you should contact Thermeon with the details. You may call by phone (714 731-9191) or email: support@thermeon.com. If Thermeon cannot determine the problem, we will either tell you to call the Res Center or we will call the Res Center for you.
